Job Title: Institutional Advancement - Data Entry
Location: Heard Museum Phoenix
Full/Part Time: Full Time
Job Description Summary:
Reporting to the Director of Annual Giving/Government/Tribal Relations, the successful candidate will take primary responsibility for entering and maintaining donations and membership dues within our Raiser's Edge database as well as provide administrative support.
Essential Duties and Responsibilities include, but are not limited to the following:
- 60% Data entry
- Processes and updates constituent/membership information into Raiser's Edge
- Processes a high volume of donation checks and credit card payments daily
- Resolves duplicate constituent records
- Ensures accuracy of all data recorded/li>
- May assist with creation and processing of donor tax acknowledgment letters
- Scans and uploads remittance letters, financial documents and tax acknowledgment letters into the database
- Retains and maintains all membership documents
- Helps to prepare reports, analyze data and identify solutions
- 30% Administrative Support
- Assists with Institutional Advancement mailings and acknowledgment letters
- Assist and cross-train duties of the administration and management of the Membership program when applicable
- Attends evening exhibit openings as needed
- Position may also provide administrative duties to the Development department
- Other duties as assigned
- 10% Department Coordination
- Provide reporting through Raiser’s Edge (RE) data
- Serve as Point Person for RE reconciliation with Finance department
- Liaison between the Membership and Accounting departments for transaction reconciliations and other appropriate transactions
Employment Requirements:
- Currently enrolled in or recently completed a Bachelor’s degree (Non-Profit Management, Special Events, and Donor Relations)
- Excellent computer skills to include Microsoft Office and basic data entry experience
- Ability to manage Raiser’s Edge Software and provide reports based on data managed within this software
- Able to adequately input data into Raiser’s Edge donor management system
- Must be able to compile reports into Raiser’s Edge
- Able to provide professional support and comfortable working with donors, corporations, foundations, government and Tribal officials
- Attention to detail and deadlines
- Basic math and analytical skills
- High degree of flexibility and ability to juggle multiple tasks at once
- All employees must pass a background check

- Ability to work as a team player
- Detailed and organized
- Raiser’s Edge experience highly desired, but not required, however ability to manage to manage and administer data entry through RE is required
- Cross training across all aspects of Institutional Advancement are required
- Willing to take the initiative
